1. About this policy
This policy explains how we collect, hold, use and disclose personal information. It covers our websites at https://www.growtogreat.com.au and https://www.peoplecentredgroup.com, and the workplace culture assessments we deliver to individuals and organisations using the ScoreApp platform.
We manage personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We do this regardless of whether the small business exemption technically applies to us, because it is the right way to run our practice and because our clients expect it.
2. What personal information we collect
Depending on how you interact with us, we may collect:
• your name
• your email address and phone number
• your job title, employer and organisational details
• your responses to workplace culture and engagement assessments
• your individual assessment scores, results and recommended actions
• IP address and device information collected through website analytics
• your communication preferences and contact history
• any other information you give us through a contact form or enquiry
3. Sensitive information in assessments
Some of our workplace culture assessments include questions that touch on wellbeing, stress or mental health. Under the Privacy Act, this can be sensitive information, which has extra protection.
Where an assessment includes these questions:
• we will tell you before you answer, and ask for your explicit, opt-in consent
• you can decline to answer any sensitive question without being excluded from the rest of the assessment
• we only use sensitive information for the purpose you gave it to us, a directly related purpose you would expect, or with your further consent
• we never use sensitive information for direct marketing
4. How we collect your information
We collect personal information:
• directly from you, when you use our website, complete a contact form, or complete an assessment
• through ScoreApp, the third-party platform we use to run assessments and generate reports (see section 7)
• through cookies and website analytics tools (see section 10)
• occasionally from a third party, such as the organisation that commissioned your assessment. Where this happens, we take reasonable steps to let you know.
5. Why we collect, use and hold your information
We use personal information to:
• generate and deliver your individual assessment report, score and recommended actions
• provide assessment results and aggregate insights to the organisation that commissioned the assessment (your employer or the client that engaged us)
• run, maintain and improve our website and services
• respond to enquiries and manage our relationship with you
• send you direct marketing, where you have not opted out (see section 9)
We only use your information for purposes you would reasonably expect.
6. Sharing your information
We share personal information with:
• the organisation that commissioned your assessment, which receives your results as part of the service it has engaged us to deliver
• ScoreApp, our assessment platform provider
• IT, hosting and other service providers who help us run our business
• anyone else required or authorised by law
We require every service provider who handles personal information on our behalf to agree in writing to protect it in line with the Privacy Act and the APPs, including data security, breach notification and audit obligations.
7. ScoreApp and overseas data transfer
We use ScoreApp, an assessment platform operated by Hyper Targeted Marketing Limited (registered in England and Wales), to run assessments and generate individual reports. ScoreApp stores and processes data under UK data protection law and hosts data within the UK and EU.
This means your personal information, including your assessment responses, may be transferred outside Australia. Before this happens:
• we have considered whether the recipient country has a data protection framework broadly comparable to the APPs (the UK GDPR is one of the more robust regimes globally)
• we have contractual arrangements with ScoreApp requiring it to handle your personal information consistently with APP 8.1
• we take reasonable steps to ensure ScoreApp does not handle your information in a way that would breach the APPs if it were us

8. Automated decision-making
Our ScoreApp assessments use an automated scoring system to calculate your individual results and generate recommended actions. This part of the process is substantially automated.
Because these results may be shared with the organisation that commissioned your assessment and may inform decisions about workplace culture initiatives, training or development, the automated scoring could indirectly affect you.
The kinds of personal information used in this automated process are your assessment responses and any role or demographic information you provide as part of the assessment. A person reviews and interprets the output before it is used to inform any decision that could significantly affect an individual — the automated system itself does not make final decisions about your employment or engagement.
9. Direct marketing
By giving us your details, you consent to receiving direct marketing from us, where the material is of a kind you would reasonably expect. We do not use sensitive information for marketing purposes.
Every marketing communication includes a simple way to opt out, such as an unsubscribe link. You can also opt out or update your preferences at any time by contacting us. We will action opt-out requests within 5 business days.
10. Cookies
We use cookies to run our website and understand how it is used. Before deploying non-essential cookies, we show a cookie banner and ask for your opt-in consent, with cookies categorised as essential, analytics or marketing. You can change your cookie preferences at any time through our cookie settings. Cookies generally do not identify you personally.
11. Security and retention
We store personal information securely and take reasonable steps to protect it from misuse, loss, unauthorised access, modification or disclosure.
We keep personal information only as long as we need it:
• client and business records are generally kept for up to 7 years, to meet our record-keeping obligations
• assessment data, including individual responses and scores, is also kept for up to 7 years
These are maximum periods, not fixed holding periods. Where we no longer need personal information before the 7 years is up, we destroy, delete or de-identify it earlier, and we keep a record of when this happens.
12. Access and correction
Under the APPs, you can:
• ask for access to the personal information we hold about you (APP 12)
• ask us to correct it if it is wrong (APP 13)
To make a request, contact us using the details in section 14. We aim to respond within 30 days.
13. Complaints
If you are unhappy with how we have handled your personal information, contact us using the details below. Our Privacy Officer will review your complaint and may ask you for more information to understand your concerns.
If we agree your complaint is justified, we will work with you to fix the problem. If you are not satisfied with our response, you can take your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
